Call for Student Volunteers

IEEE Quantum Week 2023 will be held as an in-person event with virtual participation in Bellevue, Washington, USA at the Hyatt Regency Bellevue on Seattle’s Eastside.  As a hybrid event, we are broadcasting the sessions to virtual participants and recording the sessions for QCE On-Demand after the main event ends on September 22.

IEEE Quantum Week 2023 features 14-15 parallel program tracks per day over six days — Sun-Fri, Sep 17-22, 2023. QCE23 needs approximately 55 student volunteers to run the 87 hybrid tracks and the conference (e.g., registration desk) effectively. For volunteering for two full days at QCE23, student volunteers will receive a full complimentary QCE23 registration.

To apply as a student volunteer, please fill out the Student Volunteer Application Form and submit the form via the QCE23 EasyChair Student Volunteer Track. You must create an EasyChair account if you don’t already have one. You can also use this account for your paper submission for QCE24.

Please note: Student volunteers must commit to travel to Bellevue, Washington, to participate in-person at IEEE Quantum Week 2023. There are no remote volunteer opportunities as were offered during the pandemic.

Thus, we kindly invite graduate students with interests in the topics of the IEEE International Conference on Quantum Computing and Engineering (QCE) to apply for two days (9:30-17:15) of volunteering for QCE23 in exchange for a complimentary QCE23 registration.

QCE23 Student Volunteer Application Form

To become a QCE23 student volunteer, submit the Student Volunteer Application Form to the Student Volunteer track via the QCE23 EasyChair submission website in the form of a PDF file. 

The Student Volunteer Application Form asks for the following information, in the order specified below:

  1. Student volunteer name  — full name, affiliation, and email of the student volunteer.
  2. Graduate advisor name  — full name, affiliation of the student volunteer’s graduate advisor.
  3. General quantum interests of student volunteer — keywords or brief description quantum interests to facilitate assignments of volunteers to tracks; enter at least three of your quantum expertise keywords in the Keywords box of the EasyChair upload form.
  4. Student volunteer preferences for conference days  Sun/Sep17, Mon/Sep18, Tue/Sep19, Wed/Sep20, Thu/Sep21, Fri/Sep22; enter at least three days/dates in the Title box of the EasyChair upload form.
  5. Student volunteer preferences for tracks and tasks — specific tutorialsworkshops, or technical paper tracks; registration desk; exhibits & posters hall.
  6. Other information — for example, D&I (Diversity and Inclusion are central to the goals of IEEE Quantum Week); previous volunteer experience

Important Student Volunteer Requirements

  • All QCE23 participants, including student volunteers, must register for the IEEE Quantum Week 2023.
  • By submitting your Student Volunteer Application Form to IEEE Quantum Week 2023, you are making a commitment to register for the full conference and attend the conference in-person upon acceptance as a student volunteer. Upon acceptance, you will receive a discount code for your complimentary student volunteer registration.
  • Please note that IEEE Quantum Week 2023 will make every effort to assign volunteers to the track preferences and tasks listed on the application form. However, QCE23 cannot guarantee to honor all volunteers’ exact requests.
